Clients and matters

Keep the people, files, and follow-up with the client they belong to. Use matters when a piece of work needs its own context.

Start with the client

Keep a client's profile, contacts, documents, and matters together. Files uploaded from a client, matter, or folder keep that location, so organizing the work does not require repeating the same choices each time.

Client and matter tools are optional. Owners and administrators can enable them in workspace settings; ordinary uploads still work without choosing a client or matter.

Give each matter a home

A matter opens on its documents, with Work, People, and Activity alongside. Follow tasks, reviews, signature requests, and correspondence in the same context, and request client files or prepare an export from the matter's actions.

Use restricted matters for work limited to named participants. Those boundaries also apply to document versions, search, sharing, and exports. A workspace owner or administrator does not automatically gain access to a restricted matter without participation.

Keep the next date visible

Create tasks and obligations with assignees and due dates. My work brings eligible open tasks together with review assignments and signatures. Waiting on others shows work you initiated that still needs someone else's action.

Set a renewal schedule from a completed agreement. Choose a fresh draft for review or an automatic signing request when due. Each renewal creates its own agreement and preserves the earlier signed record; normal sending allowances and permissions still apply.

Carry details into drafts

On Business, map reusable template fields to client and matter details. Select the right context for a new draft, check the prefilled values, and choose the actual recipients for its roles.

Saved template versions and draft snapshots keep future changes from rewriting historical documents. Review the new agreement before sending, even when the information comes from an existing client record.

Questions

Do I need Business to organize clients and matters?

No. These tools are available to the workspace owner on Free. Business adds team collaboration and reusable templates. Enable Client and matter tools in workspace settings to show them in navigation.

Does hiding a tool remove its records?

No. Display preferences control navigation. Existing records remain reachable through contextual links and More tools, and active assignments still appear in My work. Permissions and scheduled work continue to apply.
